		<title><![CDATA[How to create sites]]></title>
		<description><![CDATA[<p>
To create sites under your account from top menu select Account-&gt;Manage sites.
</p>
<p>
Click on &#39;Add new site&#39; button on the top.
</p>
<p>
You should be on site create form now. All fields marked <font color="#ff0000">* <font color="#000000">are required or mandatory fields.</font></font>
</p>
<ul>
	<li>Site Name: Your site name, eg. Doe Associates in San Francisco.</li>
	<li>Street Address1:  First address line of your business site.<br />
	</li>
	<li>Street Address2:  Second address line of your business site.    </li>
	<li>City:  City of the site<br />
	</li>
	<li>Zip Code: Zip code of the  site <br />
	</li>
	<li>State/Province: State of the site<br />
	</li>
	<li>Country:  Country of the site<br />
	</li>
	<li>Telephone Number: Telephone number, Please use format 510-211-1234     </li>
	<li>Fax Number: Fax number, Please use format 510-211-1234     </li>
	<li>URL:  Site website address. </li>
	<li>E-Mail:  Email address of the site where official emails related to site are delivered. </li>
	<li>Business Industry: Business industry for this site&#39;s business. This would help us deliver you industry specific news and updates that you would need to know. You must have selected news letter options in order to receive these updates from us. </li>
	<li>Franchisor: If your business has a franchisor, please select. This will help us serve you with your franchisor specific services and tools as well as news updates.</li>

Please enter scheduling options if you want to customize your scheduling.  Following are the available options for scheduling:
<ol>
	<ul>
		<li>
		Schedule Slider Increment(minutes): Defines time increment in minutes
		by which time slider will move. Can be overridden in scheduling section
		by manually entering specific time value.</li>
		<li> Schedule start time: Defines default schedule start time for the day when you loginto scheduling for the site.</li>
		<li> Schedule end time:   Defines default schedule end time for the day when you loginto scheduling for the site.   </li>
		<li> Show confirmation messages:If this option is checked, it would ask you for confirmation before every delete operation.</li>
		<li>
		Send email to employees on publish: If this option is checked then
		employees who have been set up with valid email addresses will get
		schedule publish notification. They can login at GoToWorkspace and view
		the schedules.</li>
		<li> Schedule publish email prefix: You can
		write email body of the message that would be included in the employee
		schedule publish email to employees.</li>
		<li> Schedule Window:
		Defines what is the schedule window period in days. Everytime you
		loginto a site to create schedule, it will auto calculate the next
		schedule start and end dates based on schedule window.</li>
		<li>
		Schedule start date: What is your first schedule start date. Based on
		this date all future schedule start and end dates are calculated.</li>
		<li>Employees can clock in/out tool from anywhere: whether or not to allow
		all employees to clock in/out from anywhere they can access the tools.
		If you select this employees can launch and perform clock in/out from
		anywhere. If you do not select this then only employees with designated
		roles which have privilege to launch clock in/out can launch the tool
		on certain computer which can then be used by other employees to
		register clock in/out time.</li>

		<li>Overtime criteria: You can specify overtime criteria here based on hours worked per day or per week. Most of the states the requirement is 40 hours/week. 		<li>Employees can clock in/out tool from anywhere: whether or not to allow all employees to clock in/out from anywhere they can access the tools. If you select this employees can launch and perform clock in/out from anywhere. If you do not select this then only employees with designated roles which have privilege to launch clock in/out can launch the tool on certain computer which can then be used by other employees to register clock in/out time. </li>
	</ul>

		<title><![CDATA[Using web based employee clock in /out time to capture employee punch in/out time]]></title>

Important: Web based clock in/out tool is configurable based on your business requirement. You can either allow employees to clock in/out from anywhere or restrict the clock in/out tool be launched by specific employees who have right privileges on specific computers only. Following are the two options</font></strong> 
</p>

<strong><font color="#800000">1. The employee must have right privileges to be able to launch or shut down clock in/out tool using any of the following  methods.All superuser accounts have this privilege by default. </font></strong>
</p>

<strong><font color="#800000">2. <font size="2"><strong>1. From control panel:</strong></font>
</p>

Click on <img src="../workspace-ent/images/homepage/clockio.gif" alt=" Employee clock in/out" title=" Employee clock in/out" width="50" height="50" /> icon in control panel to launch clock in/out tool. You must have a default site set to be able to launch clock in/out tool from control panel. Once the tool is launched you can log off from your account and clock in/out tool will remain active until its shut down. To shut down clock in/out tool, login and go to scheduling tool. Select   <strong>mode-&gt;launch clock in/out tool-&gt;click shut down clock in/out tool</strong>.

<font size="2"><strong> 2. From scheduling tools:</strong></font>

To launch real time clock in/out tool select  <strong> </strong>link from the top. Click on <strong>mode-&gt;launch clock in/out tool-&gt;click launch clock in/out tool</strong>.  button to launch the tool. You should see a new window open up once the tool is
launched. 
</p>
<p align="justify">
Once the tool is launched you can log off from your account and clock in/out tool will remain active until its shut down. To shut down clock in/out tool, login and go to scheduling tool. Select   <strong>mode-&gt;launch clock in/out tool-&gt;click shut down clock in/out tool</strong>. 
</p>
<p align="justify">
Following are the points to note with respect to web based clock in/out
tool:
</p>
<div align="justify">
<ul>
	<li>Once the tool is launched, you can safely log off from your
	account. The tool will stay active for 30 business days or until tool is
	shut down by logging into manager/supervisor account.</li>
	<li>You can book mark the tool link and your
	employees can load the tool using bookmarked link, provided tool has
	been launched from employee scheduling tool and has valid session.</li>
	<li>The link can not be copy pasted from computer to any other computer, for the tool to work properly it must have been launched on the computer by authorized personnel.  </li>
	<li>If
	the session of the tool has expired, it will show invalid session
	message. In this case the tool will need to be launched again from
	employee scheduling tool.</li>
	<li>If clock in/out tool has a valid
	session, you should see &#39;Shut down clock in/out tool&#39; button when you
	click on &#39;Launch clock in/out tool&#39; link in clock in/out section.</li>
	<li>
	<p>
	Please ensure your pop blocker is not blocking the tool from being launched in new window. 
	</p>
	</li>
	<li>
	<p>
	You must assign employees temporary password that  can be changed by
	employees when they loginto their account at GoToWorkspace.com.
	</p>
	</li>
	<li>
	<p>
	Employees can clock in when they start their work shift by entering
	either their email address of GoToWorkspace username and password on
	clock in/out tool.
	</p>
	</li>
	<li>
	<p>
	After successful login employees are shown button to confirm clock in.
	</p>
	</li>
	<li>
	<p>
	If employee is already clocked in, upon log into clock in/out tool, employee is asked for confirmation on clock out.
	</p>
	</li>
	<li>
	<p>
	Employee clock in/out tool is recorded. To view employee clock
	in/out summary please select clock in/out mode in employee scheduling
	too.
	</p>
	</li>

		<title><![CDATA[Using employee scheduling tool for payroll processing.]]></title>

<p>
Using payroll reports you can conveniently generate payroll summary reports that can be directly processed by your payroll processing(Quickbooks, CPA or third party payroll processing vendor).
</p>
<p>
You can generate payroll reports and submit it with one click of payroll processing to your designated payroll processor(employee payment processing, tax withholdings etc..) or download to process in quickbooks if you process payroll using quickbooks.
</p>
<p>
To launch payroll tool either click on <img src="../workspace-ent/images/homepage/payroll.gif" alt=" " width="28" height="28" /> from control panel or select &#39;Payroll&#39; from top menu-&gt;workspace tools.
</p>
<p>
To be able to use payroll tool you must be either using GoToWorkspace.com&#39;s web based clock in/out tool or must have integrated physical time clock devices (proximity or biometric) with GoToWorkspace.com
</p>
<p>
Once in payroll tool:
</p>
<p>
Left section represents previously created payroll reports, you can edit/view them by clicking on <img src="../workspace-ent/images/buttons/p_reportheader.png" alt=" " width="16" height="16" />
</p>
<p>
Right section represents details specific to payroll report being edited or created.
</p>
<p>
To create a new payroll report select the date range, select the site(if you want to process payroll for specific site select a site here otherwise select &#39;all&#39; in site list drop down) and click on &#39;import clock in/out data&#39; button. This will generate a payroll report based on date range, sites selected for all the employees belong to selected sites.
</p>
<p>
The payroll report will show for each employee:
</p>
<ul>
	<li>Employee name</li>
	<li>Employee type (salaried/hourly)</li>
	<li>Employee rate  (annual slary /hourly rate and overtime rate)</li>
	<li>Payroll summary for employee</li>
</ul>
<blockquote>
	<ol>
		<li>Regular hours</li>
		<li>Overtime hours</li>
		<li>Total hours</li>
		<li>Additional $ like bonus/tips</li>
	</ol>
</blockquote>

<p>
       To edit the payroll summary for employee click on <img src="../workspace-ent/images/buttons/p_editemp.png" alt=" " width="16" height="16" /> for specific employee. You must save the report for the imported records before you can edit employee payroll for the payroll period.
</p>
<p>
 When you edit employee specific payroll records:
</p>
<ul>
	<li> You can add additional lines to add extra or missed work hours(For eg. to add 5 lines select 5 in drop down list and click on <img src="../workspace-ent/images/buttons/add.png" alt=" " width="16" height="16" />) . You can edit start and end time for employee here, if you make any changes please click on <img src="../workspace-ent/images/buttons/p_empsaveline.png" alt=" " width="16" height="16" /> to save changes. To delete the line click on <img src="../workspace-ent/images/buttons/p_empdelline.png" alt=" " width="16" height="16" /> . If you add new lines, click on &#39;save&#39; button to complete saving new lines. </li>
	<li>You can add additional lines for additional payments. You will be required to specifiy description of additional payment(eg. bonus, tips etc.) and $ the amount.  If you add new lines, click on &#39;save&#39; button to complete saving new lines. If you make any changes please click on <img src="../workspace-ent/images/buttons/p_empsaveline.png" alt=" " width="16" height="16" /> to save changes. To delete the line click on <img src="../workspace-ent/images/buttons/p_empdelline.png" alt=" " width="16" height="16" />.</li>
</ul>
<p>
When you are done making changes, click on &#39;&lt; done with changes&#39; button to go back to payroll summary report.
</p>
<p>
To delete the report click on &#39;delete&#39; button, to generate printable version click in &#39;printable&#39; button, to export in xls format, click on export specific format button, to submit the report for processing click on &#39;submit for processing&#39;. 
</p>
<p>
You can add special instructions if you would like to when you submit the report for processing, an email is sent with all the details for the payroll to the email address you have specified under your account for CPA (You can specify it under top menu-&gt; Account-&gt;business setups or click on <img src="../workspace-ent/images/homepage/business_details.gif" alt=" " width="25" height="25" /> from control panel.)
